What is Advanced Approvals?

Advanced Approvals lets you require sign-off from specific people before certain payments or transfers can proceed. You can create rules that route requests to one or more approvers before the action is carried out.

Which actions can I require approval for?

Invoice payments, payroll payments, MMA withdrawals, MMA deposits, Vault withdrawals, and one-off RBA payments. You can set up a separate approval rule for each type of action.

What happens if I haven't set up a rule for an action?

The action won't require approval. Approval rules only apply to actions you've specifically configured them for.

How do I choose who needs to approve?

You can require approval from users with a particular role, specific named people, or the requester's designated approvers. You can also choose whether everyone needs to approve or only a minimum number — for example, 2 out of 3 approvers.

Can approval requirements change based on the amount or who's requesting?

Yes. You can add conditions to your rules — for example, requiring two approvals for payments of £10,000 or more, or requiring a particular approver when a specific person makes the request. You can also set a default approval requirement for requests that don't match any of your conditions.

Does every request need a human to approve it?

Not necessarily. Rules can be configured so that certain requests are automatically approved or declined when they meet specific conditions. You can also combine multiple steps to create more sophisticated approval flows.

Can someone approve their own request?

Only if they are included as an eligible approver under the rule you've configured. If you want to prevent self-approval, make sure the requester isn't included in the relevant approver group.

What happens if nobody approves or declines a request in time?

Requests that remain undecided for four weeks expire and won't go through. The requester will need to submit the request again.

Can a request be withdrawn after it's submitted?

Yes. The person who submitted the request can withdraw it at any point before it has been fully approved or declined.

Can I change an approval rule after it's set up?

Yes. Changes apply to new requests without disrupting requests that are already awaiting approval. Any existing requests will continue using the approval rules that were in place when they were submitted.

What happens if I turn off an approval rule?

New requests for that action won't require approval until you turn the rule back on or replace it with another rule. Requests that are already awaiting approval won't be affected.

Is there a record of who approved or declined what?

Yes. Approvals, declines and withdrawals are recorded in Round's audit log, including who took the action and when.
