Frequently asked questions about setting up and using Approvals

What is the Approvals feature?

Approvals lets you set rules that decide whether a transaction is automatically approved or needs sign-off from specific people before it goes ahead. Policies are built from simple IF/THEN conditions, so low-risk transactions can move instantly while higher-risk ones are routed for review.

Which transaction types can have an approval policy?

  • MMA Withdrawals

  • MMA Deposits

  • Invoice Payments

  • Payroll Payments

  • Savings Withdrawals

Who can approve requests? By default, all Admins on your Round account are able to approve requests. You can also name specific individuals or a chosen group of people within a policy's fallback rule.

Setting Up a Policy

How do I create a new approval policy?

  • Go to Approvals in the left-hand navigation

  • Click New Policy

  • Choose the transaction type the policy should apply to (e.g. MMA Withdrawals)

  • Build your conditions in the policy builder and click Save

How does the condition builder work?

Each policy starts with a trigger (e.g. "Trigger on MMA Withdrawal") followed by one or more conditions, checked in order — the first match applies. For example:

  • IF the person asking is [a specific person] → THEN the request is approved automatically

  • IF the amount is [a threshold] or less → THEN the request is approved automatically

  • In every other case, the request must be approved by at least people in [a chosen group]

Can I combine multiple criteria into one condition?

Yes — within an IF block, click + Add another condition to add further criteria to that rule.

Can a policy have more than one rule?

Yes — click + Add another case to add additional IF/THEN rules above the fallback "in every other case" rule.

What happens if a request doesn't match any of my conditions?

It falls through to the "in every other case" rule, which typically requires manual approval from a minimum number of people in a specified group.

Managing Policies

Can I rename a policy?

Yes — click the pencil icon next to the policy name at the top of the policy builder.

Can I turn a policy off without deleting it?

Yes — open the policy, click the ... menu in the top right, and select Disable.

Can I delete a policy?

Yes — open the policy, click the ... menu, and select Delete. This action cannot be undone.

Can I see a history of changes made to a policy?

Yes — click the clock icon at the top of the policy builder to open its History panel.

Approving Requests

Where do I see requests that need my approval?

Pending items appear in your To-dos list. Each entry shows the request type, amount, and date, with Approve and Reject buttons so you can action it directly.

Where can I manage who is allowed to approve? Go to Settings > Approvals to see the list of team members eligible to approve requests, along with their role (e.g. Admin).
