Guide - Paying an Invoice from Xero Using your Round Business Account

Step 1: Sync Xero and Round

  • Ensure your Xero account is connected to Round (check Integrations > Xero on the dashboard).

  • The Xero sync is 2-way, with the pull from Xero to Round being a premium feature. The push to Xero from Round is available on all pricing plans.

Step 2: Ingesting Invoices

  • With the 2-way Xero sync activated, Round will automatically fetch open invoices from Xero. However, we recommend invoices start their journey in Round.

  • Invoices can be ingested into Round in three ways:

    • forwarded directly to the unique mailbox detailed in the top right hand corner of the Invoices screen:

    • by clicking on + Upload invoices button in the top right hand corner of the same screen, or

    • by simply dragging and dropping invoices (as many as you like!) onto the Invoices screen.

  • Ingested invoices will appear in the Unpaid tab of the invoices table.

Step 3: Select and Pay an Invoice

  • On the Invoices screen, click on the invoice you want to pay.

  • If selecting multiple invoices using the checkbox on the left hand side of each line, a new box will appear towards the bottom of the screen allowing for bulk processing.

  • Once on the invoice edit screen, add/correct any missing/erroenous data, action any advisories and confirm payment details before clicking the Finish button in the bottom right hand corner (you'll cycle through all invoices in the batch if more than one are selected).

  • On the confirmation screen, select the source of funds for the payment, the date of payment (this can be the same for the entire batch or different for each invoice) β€” reviewing each invoice by clicking on it if desired β€” before paying, scheduling or sending the invoice/batch for approval.

Step 4: Paid Invoices

  • Scheduled and paid invoices will appear in the Paid tab of the invoices table.

  • Invoices in the Unpaid tab can also be marked as paid through the secondary menu, accessed by clicking on the 3 vertical dots at the right end of each row in the table.

Step 5: Editing and Deleting Invoices

  • Invoices in the Unpaid tab can be edited and deleted through the secondary menu, accessed by clicking on the 3 vertical dots at the right end of each row in the table.

  • If selecting multiple invoices using the checkbox on the left hand side of each line, a new box will appear towards the bottom of the screen allowing for bulk deletion, accessed by clicking on the 3 vertical dots at the right end of this box.

Step 6: Cancelling Scheduled Invoice Payments

  • Scheduled invoices in the Paid tab can be cancelled through the secondary menu, accessed by clicking on the 3 vertical dots at the right end of each row in the table.

Step 7: Syncing Changes

  • Any changes made in Xero or Round are reflected in the other platform. However, once invoices are paid in Round, they become largely immutable, with only a very small number of fields continuing to be editable in Xero.

Step 8: Matching the Payment in Xero

  • Once a payment is processed, it will sync back to Xero.

  • The outgoing payment with be automatically matched with the invoice in Xero to mark it as paid.
